How Do You Reset a User in Tableau?

Published in Tableau User Management 3 mins read

There is no direct "reset" function for Tableau users. However, you can achieve a similar effect through different methods depending on your specific needs. Here are some common scenarios and solutions:

Resetting a User's Password

  1. Tableau Server: If you need to reset a user's password on Tableau Server, you can do so through the Tableau Server Administration pages. Navigate to Users and select the user whose password you want to reset. Click Edit and then Reset Password. This will generate a new password that you can then send to the user.
  2. Tableau Online: For Tableau Online, you can also reset a user's password through the Tableau Online Administration pages. Go to Users and select the user whose password you want to reset. Click Edit and then Reset Password. This will send a password reset email to the user.

Removing User Access to Content

If you need to remove a user's access to specific content, you can do this through the Permissions section of the Tableau Server or Online Administration pages. Here's how:

  1. Tableau Server: Go to Projects and select the project containing the content you want to restrict. Navigate to Permissions and find the user you want to modify. You can remove the user from the project entirely or adjust their permissions to limit their access to specific content.
  2. Tableau Online: Follow similar steps in the Projects section of the Tableau Online Administration pages.

Resetting User's Preferences

You cannot directly reset a user's preferences in Tableau. However, you can encourage users to reset their preferences by themselves:

  • Tableau Desktop: Users can reset their preferences by going to Help > Settings and Performance > Reset Preferences. This will restore all settings to their default values.

Other Considerations

  • Data Sources: Removing a user from a project will also remove their access to any data sources associated with that project.
  • Data Access: Ensure you understand the data access permissions and how they affect users.
  • User Roles: The permissions and access levels of a user are determined by their role. If you need to change a user's role, you can do so through the user management pages in Tableau Server or Online.

Remember, resetting a user's access or password should be done with care, considering the impact on their work and collaboration.
