How Do I Give Calendar Access in Outlook?

Published in Email and Calendar 2 mins read

You can grant calendar access in Outlook by sharing your calendar with others. This allows them to view your schedule and appointments, but not necessarily edit them. Here's how to do it:

Sharing Your Calendar in Outlook

  1. Open Outlook and go to your calendar.
  2. Click on the "Share Calendar" button. You'll find it in the ribbon at the top of the screen, usually under the "Home" or "Calendar" tab.
  3. Choose the level of access you want to give. You can choose to give people:
    • "Can view free/busy time": Allows others to see when you're busy or free, but not the details of your appointments.
    • "Can view all details": Allows others to see all your appointment details.
    • "Can view and edit": Allows others to view and edit your appointments.
  4. Enter the email address of the person you want to share your calendar with.
  5. Click "Share".

Additional Tips

  • You can share your calendar with multiple people at once. Simply enter their email addresses separated by semicolons.
  • You can set permissions for each person you share your calendar with. This allows you to give different levels of access to different people.
  • You can stop sharing your calendar with someone at any time. Simply go back to the "Share Calendar" button and click "Stop Sharing".

Example:

You want to share your calendar with your coworker, John Doe, so he can see when you're available for meetings. You can give him "Can view free/busy time" access, so he can see your schedule without seeing the details of your appointments.
